These Terms and Conditions apply to all services provided by Derma Aesthetics Limited, a UK-registered limited company offering non-surgical aesthetic treatments. By booking or receiving treatment, you confirm that you have read, understood, and agreed to the following terms.
1. Definitions
Clinic/Premises: The place of trading where treatments are provided.
We, Us, Derma Aesthetics Limited: The company providing services.
Staff, Practitioner, Aesthetic Practitioner: Persons employed or working on behalf of Derma Aesthetics Limited.
Receipts, Invoices: Documents outlining monies due and proof of sale.
2. Service & Treatment
We aim to provide an honest and outstanding service. All treatments are administered by appropriately qualified practitioners.
Due to the nature of aesthetic treatments, results cannot be guaranteed, and no refunds will be issued for dissatisfaction or complications arising post-treatment.
By proceeding with treatment, you acknowledge the inherent risks and variability in outcomes.
3. Consultation
Prior to any treatment, a one-to-one consultation will be conducted to assess suitability and desired outcomes.
We reserve the right to refuse treatment if deemed inappropriate during consultation.
4. Bookings / Appointments
To secure a booking, a non-refundable deposit must be paid immediately via a payment link or booking system. The deposit amount varies depending on the treatment.
The deposit will be deducted from the final treatment cost.
Amendments or cancellations must be notified as soon as possible. Refund of the deposit upon cancellation or amendment is at the sole discretion of Derma Aesthetics Limited.
Derma Aesthetics Limited reserves the right to cancel appointments at any time without notice.
5. Lateness / No Show
Clients must arrive on time. Arriving more than 5 minutes late may result in forfeiture of the deposit and potentially reduced treatment time or cancellation.
Clients are requested to inform us if running late. We may attempt to reschedule, but this is not guaranteed.
No-shows or refusals of treatment result in loss of deposit.
Repeated no-shows or treatment refusals may lead to refusal of future bookings.
6. Consent Forms & Pre-Treatment Documentation
Consent forms and any other required documentation will be provided prior to treatment, either at the clinic or via email after deposit payment.
All forms must be completed and signed before treatment commences.
Failure to complete required documentation no later than 24 hours prior to appointment may result in cancellation without refund of the deposit.
Refusal to complete or sign consent forms will result in treatment refusal and forfeiture of deposit.
7. Payments & Finance
The deposit secures the booking and is non-refundable except at our discretion or if treatment is declined after consultation.
Full payment of the remaining balance is due on the day of treatment or by the due date stated on the invoice.
Accepted payment methods include card payments and cash.
We may offer payment plans or instalment options subject to agreement; we reserve the right to decline this service.
All payments must be made in the currency of the country of treatment.
Invoice Payment Terms: Payment in full is due by the invoice due date unless otherwise agreed in writing.
Late payments may incur interest and administrative fees as per the Late Payment of Commercial Debts (Interest) Act 1998 (currently 8% above Bank of England base rate plus recovery costs).
Non-payment may result in suspension of services or debt recovery proceedings.
As a private limited company not VAT registered, no VAT will be charged.
8. Cancellations & Rescheduling
Cancellations with less than 48 hours’ notice may result in loss of deposit.
Same-day cancellations or no-shows will be charged in full for the treatment.
Late arrivals beyond 5 minutes may forfeit their appointment and be charged accordingly.
9. Refunds
Refunds will not be given for treatments already provided.
If you have concerns about your treatment, please contact us promptly to discuss options.
Refunds of deposits after consultation refusals are at our discretion.
10. Results & Guarantees
Treatment outcomes vary by individual factors including age, skin type, and medical history.
No guarantees are made regarding results.
Derma Aesthetics Limited and its practitioners accept no liability for dissatisfaction with cosmetic results when treatment is performed according to professional standards and with informed consent.
11. Aftercare / Post Treatment
Aftercare advice will be provided verbally and/or in writing.
Clients are responsible for following aftercare instructions.
Immediate medical attention should be sought for any severe reactions, followed by prompt notification to us.
12. Accompanying Persons & Pets
Any accompanying persons must be declared at booking.
Accompanying minors must be supervised either in the reception or treatment room as outlined.
We reserve the right to refuse entry to any accompanying persons for safety, security, or disruption reasons.
Pets are not permitted on the premises.
13. Personal Belongings / Jewellery
Clients may be required to remove personal belongings or jewellery during treatment.
Secure storage containers will be provided, but we are not liable for loss or damage.
14. Photography & Marketing
Clinical photographs may be taken before and after treatment for medical records.
With your consent, photos may be used for marketing purposes.
15. Privacy & Data Handling
Contact via phone, email, or other channels may be recorded and data retained in accordance with UK GDPR and the Data Protection Act 2018.
Telephone calls may be recorded for training, monitoring, and compliance.
Recordings and personal data will be securely stored and retained only as necessary.
By contacting us, you consent to such processing.
Our Privacy Policy is available on request.
16. Liability
We maintain full practitioner insurance and comply with all relevant safety and regulatory guidelines.
We accept no liability for adverse effects resulting from failure to disclose medical information, non-compliance with instructions, or undisclosed contraindications.
17. Minors
We do not treat anyone under 18 years old.
Proof of age may be requested.
18. Governing Law
These Terms and Conditions are governed by the laws of England and Wales.
Any disputes will be subject to the exclusive jurisdiction of English courts.

20. Right to Refuse or Cancel Treatment and Liability Disclaimer
We reserve the unconditional right to refuse or cancel any appointment or treatment at our sole discretion, for any reason, at any time, including but not limited to safety, health, behavioural, or operational concerns.
Neither Derma Aesthetics Limited nor any of its practitioners shall be held liable for any loss, damage, or inconvenience arising from such refusal or cancellation.
By engaging with our services, you acknowledge and accept that all treatments are provided on a voluntary basis and that you assume full responsibility for any outcomes or risks associated with the treatments received.

Derma Aesthetics Limited (Derma Aesthetics) is committed to protecting your personal data in line with data protection laws relevant to the territory Derma Aesthetics trades in.

We use your personal data to book appointments, accept deposits/payments, form a profile, use your medical history/information to determine the suitability of each treatment, for contact purposes and to comply with any insurance requirements.
We only collect data that is necessary in order to administer our services/treatments or as required by Derma Aesthetics. Your personal data is only held for as long as necessary by us or as required by third parties (where involved) and insurance purposes.
We may share your personal data if required by law to comply with legal obligations to which Derma Aesthetics is subject to.

Your personal data may be shared for the following purposes
Within Derma Aesthetics in order to fulfil our services
Any third party provider’s used by Derma Aesthetics to process/retain data on our behalf
Payment providers - To take payment or set up a direct debit/instalments
With prescribing practitioners (i.e. Prescribing Doctor’s Nurses and Pharmacist’s for the administration of prescription treatments
Storing your personal data
Your personal information may be stored and processed outside of the country where it is collected, including outside of the United Kingdom or the European Economic Area. When transferring information to others, within the UK, the EEA or otherwise, we ensure that appropriate and suitable safeguards and technical measures are in place to protect your personal data. To do this, we make use of standard contractual clauses that have been approved by the UK authorities and the European Commission with our suppliers, or we implement other similar measures required by laws around the world.
We will only keep records of your personal information for as long as is reasonably necessary for the purposes for which we have collected it, and in order to comply with any statutory or regulatory obligations in relation to retention of records. We respect requests to stop processing your personal data for marketing purposes. This includes keeping a record of your request indefinitely so that we can respect your request in the future.
Your personal data will be stored on a cloud based system owned by us or a third party. Any paper documentation containing personal information will be uploaded and the paper version destroyed.
Your Rights
You have the right to request access to and rectification or erasure of personal information, the right to restrict processing of your personal information and the right to object to processing of your personal information.
If you request to restrict processing of your personal data. This will likely effect the services/treatments we can provide.
You have the right to object to your personal information being processed on the grounds of Derma Aesthetics’s legitimate interests. You have the right to object to us sending you direct marketing and profiling you for the purposes of direct marketing. You have the right to lodge a complaint regarding our processing of your personal information with a data protection supervisory authority in a country where you live, work, or where you believe a breach may have occurred.
General Data Protection Regulation (GDPR) provides you with the right to request/obtain information held/stored about you. Requests must be made by email to Info@derma-aestheticsclinic.co.uk. Such requests will be subject to identification checks/verification in order to protect the information/data we release.
We will not charge for the first copy of your record. We may charge an administrative fee for all subsequent copies of the same record.
As stated by the ICO, we will respond to any requests as such within one month of receipt of the request. We may extend the request by a further two months if the request is complex or if we receive a number of requests from you.
